General College Information Centre

Entering from the Campus Gate the returning students or prospective students are welcomed at the Campus General Information Centre they are then assisted with the following.

  • The map which directs them on how they are to go about during the whole registration process.
  • The centre also provides the prospective students with a brief and documentation regarding the programmes that the College is offering at that Campus
  • General information Centre must also check and ensure that the prospective NCV students have the following documents for them to proceed with the registration:
    •  Original copies of the Latest Report or Statement of Results of the student’s recent completed level (Grade 9-12);
    •  Certified copy of ID/Birth certificate and everyone in the household;
    •  Proof of residence;
    •  Parent/Guardian’s contact details;
    •  Registration Fee if does not want to apply for bursary;
  • In terms of the prospective Report 191 students the centre should request for the following before they are allowed to proceed to the next registration stations:
    •  N1 Engineering: Original copy of Grade 9 final report with Maths and Science passed above 40%
    •  N4 Engineering: original copy of N3 or NSC or Matric Certificate or Level 4 with Maths and Science passed above 40%
    •  Certified copies of NCS, Matric Certificate or NCV Level 4 Certificate for all other programmes
    •  Certified copy of ID/Birth certificate and everyone in the household;
    •  Proof of residence which is three months or less old;
    •  Parent/Guardian’s contact details;
    •  Registration Fee if does not want to apply for bursary;
  • Bursary requirements documentation for new students both NCV and Report 191 are as given below
    •  Certified copies of ID (student) x2
    •  Two certified copies and one original copy of the Latest Report or Statement of Results of the student’s recent completed level (Grade 9-12);
    •  Certified copies of Parents’ ID (both) or affidavit (signed by parent) if only one ID is attached
    •  Proof of income of both parents (salary advice/ SASSA letter/ pension slip/affidavit if unemployed). All affidavits to be completed by parent.
    •  Certified copies of ID/Birth certificates of all members in the household (optional)
    •  Student Residential Verification form (Available at campuses)
    •  Proof of residential address which should three months or less x2 copies
    •  Certified copy of ID of property owner or co-habitant
    •  Proof of travelling distance (letter from Taxi Association) (optional)
  • Bursary requirements documentation for returning students both NCV and Report 191 are as given below:
    •  Certified copy of student Identity document x 1
    •  Original Student Academic Results X 1
    •  Student Residential Verification form (Available at campuses)
    •  Proof of residential address which should three months or less x 1 copy
    •  Certified copy of ID of property owner or co-habitant
    •  Proof of travelling distance (letter from Taxi Association) (optional)
  • All prospective students and returning students should complete the assisted register before either proceeding with the registration or leaving the process.
  • After the General College Information desk staff is sure that the applicant has satisfied all the requirements above, they should then refer all prospective students and the returning students to the Programme Information Help Centre.
  • A signed checklist should be issued to all who will proceed with the registration together with the registration directions map.

Programmes Information Help Centre

The centre should explain in detail to all the prospective students all programmes offered at the Campus and the College as a whole. Prospective students are also assisted to choose those courses which reflect their areas of strength as shown by their results for both NCV and Report 191. Both returning and prospective students are then issued with the Colour coded tag for easy of identification.

  • New NCV – Red tag
  • Returning NCV – Green tag
  • New Report 191 – Orange tag
  • Returning Report 191 – Yellow tag
  • The centre must ensure that all the checklist forms are signed before refereeing the applicant or student to the next station.
  • Prospective students should be directed to the Bursary Application Centre while the returning are directed to the Registration Fees Confirmation Centre to confirm if they are paid up.

Returning Students Fees Paid Up Confirmation Centre

This centre should check using the system whether the returning student is paid up or is not in respect of the pervious fees. The confirmation should be done as given below:

  • Check from the system whether the student is paid up or not.
  • Print out a payment report, sign and give it to the student.
  • If the student is paid up, direct the student to the Results Releasing Centre
  • However if the student is not paid up direct the student to the office of the Campus Manager for arrangements
  • The centre must ensure that all the approval forms are signed before directing the applicant or student to the next station.

Fees Arrangement: Office of the Campus Manager

All students are not paid up and do not have the outstanding fees may be directed to the office of the Campus Manager to discuss the way forward. The following needs to happen for the student to proceed with the registration.

  • The Campus Manager should request both the results statement and the fees payment history from the returning student;
  • The two must then agree on the way forward regarding payment of the outstanding fees;
  • The Campus Manager may then issue a payment arrangement agreement which should be signed by both parties:
  • The student together with other documents accumulated along the way should then proceed to the Bursary Application Centre if they want to do new applications.
  • The centre must ensure that all the approval forms are signed before refereeing the applicant or student to the next station.

Results Releasing Centre

Upon receiving the student, the staff member should do the following:

  • Request fees payment report obtained from the Fees Confirmation Centre which indicates that the student does not owe the College or payment arrangement agreement issued to the student by the office of the Campus manager;
  • Request the student card from previous year or identity document prior printing of results;
  • Request the slip to confirm that student has returned all college textbooks
  • Print the result report and enrollment form from the MIS
  • Student whose results are pending, print them with pending subject(s) and advise the student to check with the office of the Deputy Campus Manager;
  • Students whose results are complete but have not passed enough to proceed in line with the progression guidelines should be referred to the Programme Allocation Centre for advice on the way forward
  • The centre must ensure that all the approval forms are signed before refereeing the applicant or student to the next station.
